Role Description

The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer. This role involves managing schedules, coordinating meetings, and performing various tasks to ensure the CEO’s office operates efficiently. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication and organisational skills.

Key Responsibilities:

Calendar Management:

  • Manage the CEO’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Prioritise and organise meetings based on urgency and importance.

Communication:

  • Serve as the primary point of contact for internal and external communications on behalf of the CEO.
  • Draft and edit correspondence, reports, and presentations as required.

Meeting Coordination:

  • Prepare agendas and materials for meetings, taking minutes and following up on action items.
  • Ensure the CEO is well-prepared for all meetings and presentations.

Travel Arrangements:

  • Arrange complex travel itineraries, including flights, accommodations, and transport.
  • Prepare detailed travel itineraries and brief the CEO on travel plans.

Project Management:

  • Assist in managing special projects and initiatives, ensuring deadlines are met.
  • Track progress and report updates related to key objectives.

Confidentiality:

  • Handle confidential information with discretion and professionalism.
  • Maintain a high level of professionalism and confidentiality.

Qualifications

  • Bachelor’s degree in Business Administration or a related field preferred.
  • 5+ years of experience as an executive assistant or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Strong verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills with the ability to interact effectively with all levels of the organization.

Preferred Skills

  • Familiarity with project management tools and techniques.
